What is the Student Engagement Roster (SER)?
The Student Engagement Roster (SER) is a tool that allows faculty to communicate with students and provide early and frequent feedback to improve or deepen their learning in a course. Learn more about SER here.
I would like to apply the same feedback to all students. How do I select all?
Just above the first student in the list, is a number indicating the total class enrollment. Check the box to the left of that to select all students, then continue with feedback entry and submission.
I received an error when submitting information for large classes. A system time-out appears and message says information not submitted.
When submitting information for a large class or combined sections, you may see this error. More often than not, the submission system continues to work in the background and the feedback will eventually get submitted, despite the error. Please email us so we can record this error and we will follow up the next day to confirm that the feedback has been submitted.
I received an error saying my recent feedback was not saved because of more recent changes made by me. What happened?
Entering feedback quickly, before the SER has had a chance to save the previous entry, can result in this error. It is also possible that multiple people are trying to enter feedback at the same time. Coordinate with grade proxies and enrollment assistants to ensure one person is entering feedback at a time.
I need help with my SER. Who should I contact for assistance?
Staff in the Office of the Registrar are available to assist with inquiries related to attendance verification or early evaluations. Email firstname.lastname@example.org or call 812-855-5680 from 9am-4:30pm for assistance.
What browser should I be using?
The recommendation is to use Chrome and Firefox. You may use other browsers, such as Edge and Safari, but you may experience more issues.
I made an error when submitting feedback. How do I fix this?
You can submit a correction as the SER is open throughout the semester. Find the student who needs a correction and simply resubmit with the corrected information.
Can I assign someone else to enter information for me?
Yes, you can assign an assistant through the Faculty Center in SIS. Choose the role of “Enrollment Assistant” to grant access to your Student Engagement Roster (you will need the 10-digit university id of the user). The role of “Grade Proxy” should only be assigned to users who will assist you with uploading Final Grades.
How do I enter attendance for a 100% online course?
The general rule for asynchronous, online, and/or hybrid courses is to mark students as “attending” if they have submitted assignments or participate regularly in online discussions. If a student has not submitted any assignments, select “not attending.” If a student has not submitted any recent assignments, select “stopped attending” and give an approximation of the date.
I’m concerned about students who have not attended class and have not yet dropped. What can I do?
Enter attendance as “Not Attending” and also select “consult with academic advisor” under the recommendations tab. This will notify the student and advisor that the student has not attended, and the advisor can reach out to the student about their best options moving forward.
I submitted the roster this morning. Why did I get the reminder email today?
The list of faculty who have not yet submitted a roster is generated overnight. So, if you received a reminder email the same day you submitted a roster, no worries! You will be removed from future reminders. If you receive a reminder email more than a day after submitting your roster, it is possible you saved but did not submit the roster. Email us at email@example.com or call 812-855-5680 to confirm.
In the Student Engagement Roster, can I filter to show only students who need early evaluation feedback?
Yes. At the top of the SER landing page, there is a blue link that says “View classes that have students requiring feedback.” This will take you to a class list, and clicking on a class displays a list of students who need feedback. There is also a link provided at the bottom of the Early Evaluation reminder emails.
Is it possible to import grades directly from Canvas into SER?
Yes! If you have an updated gradebook in Canvas, then you can use the Import function to load current grades into SER. Make sure to submit any pending feedback first, as the Import will override unsubmitted feedback entries.
I have already submitted the roster. Why did I get the reminder email today?
Currently, we cannot remove faculty from the Progress Report system used for Early Evaluations. You will continue to receive the reminders and see the Progress Report banner in the SER for the duration of the campaign. If you are uncertain whether you have submitted feedback, please email us at firstname.lastname@example.org or call 812-855-5680 for confirmation.
